  • Information necessary to administer discounts or special offers.
  • Website usage information, such as IP address, browser information and cookies, where applicable.

I will only collect information that is reasonably necessary for the purposes described in this Privacy Policy.

2. How I use your information

I may use your personal information to:

  • Respond to enquiries.
  • Provide quotations and information about my services.
  • Arrange and administer photography sessions.
  • Communicate with you about your booking.
  • Provide galleries and deliver photographs.
  • Process payments and issue invoices.

3. Lawful basis for processing

Under UK data protection law, I must have a lawful basis for processing personal information.

Depending on the circumstances, I may rely on the following lawful bases:

Contract

I may process your information where it is necessary to enter into or perform a contract with you, such as arranging your photography session, communicating with you about your booking, delivering your photographs and processing payment.

Legal obligation

I may process and retain information where necessary to comply with legal obligations, including accounting, taxation and other statutory requirements.

Legitimate interests

I may process information where it is necessary for my legitimate business interests and those interests are not overridden by your rights and freedoms.

This may include maintaining business records, responding to enquiries, managing disputes, protecting my business and improving my services.

Consent

Where required, I will ask for your consent before processing personal information for a purpose that requires consent.

Where processing is based on consent, you can withdraw that consent at any time.

Withdrawing consent does not affect the lawfulness of processing carried out before consent was withdrawn.

4. Photography and images

Photographs are personal data where an identifiable person can be recognised.

Photographs created during your session will be processed for the purpose of providing the photography service and delivering your agreed images.

I will not use photographs of you for public marketing, portfolio or promotional purposes unless I have an appropriate lawful basis to do so.

Where your consent is required for promotional use, you may withdraw that consent at any time.

Please note that withdrawing consent does not require me to remove material that was lawfully published before the withdrawal, although I will consider reasonable requests to remove images from channels that I control.

5. Children and young people

Where photography involves children or young people, I may collect information about them as part of providing the photography service.

The person making the booking is responsible for ensuring that they have the appropriate authority to provide information relating to children participating in the session.

Where appropriate, I may request consent from a parent or legal guardian before using images of children for promotional purposes.

6. Who I share your information with

I do not sell your personal information.

I may share information with trusted third parties where this is necessary to operate my business or provide your service.

This may include:

  • Online gallery providers.
  • Booking and client-management systems.
  • Payment providers.
  • Website hosting and website service providers.
  • Email and communication providers.
  • Accounting and bookkeeping services.
  • Cloud storage providers.
  • Professional advisers where necessary.
  • Government bodies, regulators or law enforcement where legally required.

Where third-party providers process personal information on my behalf, I will take reasonable steps to ensure that appropriate data protection and security measures are in place.

7. International transfers

Some third-party service providers I use may process personal information outside the United Kingdom.

Where this occurs, I will take reasonable steps to ensure that any transfer is carried out in accordance with applicable UK data protection law and that appropriate safeguards are in place where required.

8. How long I keep your information

I will retain personal information only for as long as reasonably necessary for the purpose for which it was collected.

Some information may need to be retained for longer because of legal, accounting, tax, insurance or dispute-resolution requirements.

Client photographs may be retained for a reasonable period after delivery to allow me to provide support, recover or re-deliver files where reasonably possible, and maintain appropriate business records.

Online galleries may remain available for approximately one month following delivery unless otherwise agreed.

I may delete information earlier where there is no continuing legitimate or legal reason for retaining it.

9. Security

I take reasonable technical and organisational measures to protect personal information against unauthorised access, accidental loss, destruction, alteration or disclosure.

However, no method of electronic storage or transmission can be guaranteed to be completely secure.

10. Your data protection rights

Depending on the circumstances, you may have rights under UK data protection law including:

  • The right to be informed about how your information is used.
  • The right to access your personal information.
  • The right to have inaccurate information corrected.
  • The right to request deletion of your information where applicable.
  • The right to restrict processing in certain circumstances.
  • The right to object to certain processing.
  • The right to data portability in certain circumstances.
